OLY REGISTRATION, REFUND POLICY, AND INSTRUCTIONS

FALL/WINTER 2008-2009

OLY has one registration period for the Short Course season (September - March) and one for the Long Course season (April - August).  A registration fee will be paid at the time of registration with monthly payments  for duration of the season.  Monthly payments may be made as a lump sum, handled with post dated checks or mailed so that it is received no later than the 1st of the month.  Families with more than one swimmer may combine their monthly fees into one monthly check.  If a swimmer begins in the Long Course season a prorated registration fee is paid.  The OLY swim school will have slightly different registration fee guidelines.  Swim School information can be found on the OLY website.

Online registration for the 2008 – 2009 Short Course Season will begin immediately and end August 24th.  Online registration for the 2009 Long Course Season generally starts in March but details will be posted on the OLY website in early 2009.    

Payment Instructions:  For the short course season, you will be responsible for monthly fees in September, October, November, December, January, February and March.   Girls who swim high school will make payments in December, January, February and March.  Boys who swim high school will make payments in September, October and November.  If you chose to pay by mail, the address is listed below:

Registration fees and September payment should be mailed immediately after receiving your confirmation of registration.  Swimmers must be registered and paid to attend practice.  A swimmer who has an outstanding balance due to trips, volunteer points, merchandise, etc. will not be allowed to register for a new season until those costs are paid.  You may not be in the water if your fees are still not paid from the previous session.  If you are not sure, please contact Nancy Goins at kagoins@aol.com to see what you owe.  The OLY Board reserves the right to administer this policy.  A $25.00 surcharge will be charged on ALL returned checks.  Any questions about this policy may be brought to the Board of Directors.

Depending upon available space, a swimmer new to the team may try out and join the program at the discretion of the coaching staff.  Fees in these cases will be pro-rated based upon the registration date.  Fees are not pro-rated for returning swimmers (this includes high school swimmers).  USA Swimming transfers may register at any time.

The Refund Policy now states that if a swimmer decides to withdraw from the program within the first two weeks of registration, all but $55.00 will be refunded.  If a swimmer decides to withdraw after this two week period, the swimmer will forfeit the registration fee, as well as all payments up to and including the month of departure.

Refunds will be granted for relocation and medical reasons according to the individual situation.  Swimmers who relocate out of the area will receive a refund for the unused portion of their fees.  Credits for unused swim fees will be granted only when a swimmer must withdraw for medical reasons.  A written request must be submitted to the OLY Board, along with a doctor's written verification of the swimmer's inability to participate in the OLY program.  This credit must be used by the swimmer within the following twelve month period.  A refund will be granted in lieu of a credit ONLY to those graduating seniors who will not be able to use the credit in the following twelve months.

Registration of High School Swimmers does not correspond to the High School Swimming season.  All high school swimmers are required to register in the fall with the high school registration payment covering all swim fees and meet entries from September through August.  High school boys begin practice at the start of the OLY season.  Practices for high school girls begin as soon as they have finished their final high school championship meet.

OLY fees are voted on by the Board of Directors.  Fees are listed on the OLY Website.  The fees are in effect for the entire OLY Budget year and are not changed after the season begins. 

Note: Swimmers who register for OLY at a time other than the beginning of Short Course Season, will pay a pro-rated registration fee based on the month in which they begin.  Contact Nancy Goins for that amount.  This covers USA Swimming fees, coaching, etc. Any questions about this should be directed to Nancy Goins.

ALL FAMILIES are asked to participate in the Grocery/SCRIP Program.  You may choose from Kroger and/or SCRIP to reach your commitment.  This is a mandatory fundraising program and all details can be found under the Grocery/SCRIP link on the OLY website at www.olyswim.com.  Anyone not participating may choose to pay an upfront fee.  Any family that does not reach the amount outlined in the Grocery/SCRIP information will be billed for any balance at the end of short course.

ALL FAMILIES are asked to make a volunteer commitment to OLY.  A Volunteer Program has been set up which involves families accumulating points.  Points assigned, but not earned will then be charged at the end of the season.  YOU ARE RESPONSIBLE FOR READING ABOUT THIS POLICY AND UNDERSTANDING IT. The policy is located on the OLY website, under About OLY, Volunteer Program.

Instructions for registering:

  1. Read ALL registration materials provided for you.
  2. Follow the link on the homepage to the online registration form.  Fill out all information and submit.  You will receive an email confirmation of your online registration.  That email will have payment instructions.  It may take a couple of days to receive the confirmation.  If you do not get it in a week, re-submit your form.  You should submit one form for each swimmer in your family.  This is just step one of the process. 
  3. The emergency form is now online.  You must fill it out to complete registration.  We will print it out and have parents sign them at the mandatory parent meeting.
  4. Follow the link to the Code of Conduct Form, have you and your swimmer read and check the box on the registration form that you have done so.
  5. Follow the link to the Waiver Form.  This form is our assurance that you have taken the time to be responsible for all of the club policies.  This includes but is not limited to the Volunteer Program and the Grocery/SCRIP Program.  Once you have read this form, check the box on the registration form that you have done so.
  6. If you need to make other arrangements for payment, you may do this by contacting Nancy at kagoins@aol.com   or calling 248-377-2407. 
  7. Monthly fees may be paid in 7 installments or in one lump sum.
  8. If you are new to OLY be sure to include the $20 Team Uniform fee and any extra if you are buying other things at this time.  You may include it on your check for the registration fee.
