Parent Participation Program

Parent volunteers are a vital part of the OLY program.  There are many opportunities to get involved.  Working at meets, which are a major source of club income, is a great way to get started!  Chairing or co-chairing a committee, becoming a parent representative for your child’s age group, or helping to organize service projects for the senior swimmers are just a few of the other ways to participate.
 
THE POINTS PROGRAM WILL RUN FROM APRIL 1ST THROUGH MARCH 31ST EACH YEAR.
 
All families are expected to participate in the volunteer program.  These total hour requirements are MINIMUM hour requirements and all families are encouraged to participate at a higher level.  All volunteer efforts will be automatically tracked online using a reward system which was developed and approved by the OLY Board of Directors.  This is simply a tool to ensure that all families participate, and is designed to make earning your required hours easily.  All families are responsible for working their own hours. 
 
There are a minimum number of meet sessions each family is required to work during the year, EVEN IF THEY DO NOT HAVE A SWIMMER PARTICIPATING IN THE MEET.  These meet sessions are applied towards the total number of hours required. Each session will earn your family credit hours which will vary depending on which job you choose to do. Any remaining hours required may be earned by working additional sessions, making a hospitality donation, or by chairing a committee.  The income earned when we host meets plays a significant role in helping us to meet our budget and keep our monthly fees competitive.
 
All remaining unworked hours (ABOVE THE MEET SESSION REQUIREMENT) will be billed at $10.00 per hour on an annual basis at the end of the short course season.  Any meet sessions not worked to meet the minimum required will be billed at $50 per session at the end of the current cycle, which ends March 31st, 2011.   Payment for unworked hours or meet sessions will be required before registration in the next swim session.

  •  Your group is determined by the placement of the most advanced swimmer in your family.  
     
  •  All meet sessions not worked will be billed at the end of the year at $50 per session. All hours not met will be billed at the end of the year at $10.00 per hour.
     
  • The hours worked at meets are applied toward both the meet session requirement and the total hour required per year.  For example, if you are a family with a Senior Blue swimmer and you work your 9 meet sessions you will have fulfilled your session requirement and have earned 36 hours towards your total of 50 hours.  You may earn the additional 14 hours by working additional meet sessions, donating to meet hospitality, or chairing a committee. 
     
  • Swimmers who move into Technique from Swim School in the middle of the short course season have no required meet hours or grocery commitment for the remainder of the short course season (ending 03/31/11).  The following season (starting April 1), they are required to fulfill the full annual commitment.
     
  • Swimmers who move into Technique from Swim School in the middle of the long course season will be required to fulfill the obligations listed under "Families who register on or after 6/01/10 but before 10/01/10" for the remainder of the short course season.
 
The OLY Board of Directors retains the right to review and adjust the hourly reward system as necessary.
OLY will post a database on the website which will allow each family to track the hours they have accumulated.  The hours will be tracked and published online.
 
Miscellaneous:
 
  1. Volunteers must work the entire meet session to receive credit hours.  Please do not ask to leave after your child’s last race.
     
  2.  Anyone choosing to co-chair a committee will split the credit hours equally.
     
  3. Graduating Seniors/College – When your senior graduates after short course you are no longer required to participate in the volunteer program.  However, we would appreciate any volunteering you are able to do at our summer meets.  See the grocery/SCRIP page for college information regarding that program.
