Parent Participation Points

Parent volunteers are a vital part of the OLY program.  There are many opportunities to get involved.  Working at meets, which are a major source of club income, is a great way to get started!  Chairing or co-chairing a committee, becoming a parent representative for your child's age group, or helping to organize service projects for the senior swimmers are just a few of the other ways to participate.

THE POINTS PROGRAM WILL RUN FROM APRIL 1ST THROUGH MARCH 31ST EACH YEAR.

All families are expected to participate in the volunteer program.  These total point requirements are minimum point requirements and all families are encouraged to participate to a higher level.  All volunteer efforts are tracked using a point system which was developed and approved by the OLY Board of Directors.  It is simply a tool to ensure that all families participate, and is designed to make it easy to earn the required points.  All families are responsible for earning their own points. 

There are a minimum number of meet sessions each family is required to work during the year, whether or not they have a swimmer participating in the meet.  These meet sessions are applied towards the total number of points required, at either 75 points per session if you have a swimmer in the meet, or 100 points if your swimmer is not swimming in the meet. The remaining required points may be earned by working additional sessions, making a hospitality donation, or by chairing a committee.  The income earned when we host meets plays a significant role in helping us to meet our budget and keep our monthly fees competitive.

All unearned points ABOVE THE SESSION REQUIREMENT (below) will be billed at $.50 per point on an annual basis at the end of the short course season.  Any sessions not worked to meet the minimum are billed at $50 per session at the end of the current points cycle, which ends in March 2009.  We anticipate hosting 3 meets during the 2008-2009 year.  Payment for unearned points or unworked sessions will be required before registration in the next swim session.

* Your group is determined by the placement of the most advanced swimmer in your family.  

** All meet sessions not worked will be billed at the end of the year at $50 per session.  All other points not met will be billed at the end of the year at $.50 per point.

*** The points earned by working the meets are applied toward both the session requirement and the total points required per year.  For example, if you are a family with a National swimmer and you work your 8 sessions and your child swims all those sessions, you will have fulfilled your session requirement and have earned 600 points towards your total of 800.  You may earn the additional 200 by working additional meet sessions, donating to meet hospitality, or chairing a committee. 

Swimmers who move into Technique from Swim School in the middle of the short course season have no required points or groceries for the remainder of the short course season.  The following season (starting April 1), they are required to fulfill the annual commitment.

Swimmers who move into Technique from Swim School in the middle of the long course season have no required points or groceries for the remainder of the long course season.  However, starting in the fall they are required to earn points at the above levels (listed as “families who join by 9/1/08”) for the remainder of the short course season.

The OLY Board of Directors retains the right to review and adjust the point system as necessary.

OLY will post a database on the website which will allow each family to track the points they have accumulated.  The points will be tracked and published by the Volunteer Accounting Chairperson.  Please make sure your points are submitted in writing.

Miscellaneous:

-  Volunteers must work the entire session to receive points.  Please do not ask to leave after your child's last race.

-  Volunteers working a swim meet session when they have no swimmer participating in that session will earn an additional 25 points per session.

-  Anyone choosing to co-chair a committee will split the points equally.

-  Graduating Seniors/College – When your senior graduates after short course you are no longer required to participate in the volunteer program.  However, we would appreciate any volunteering you are able to do at our summer meets.  See the grocery/SCRIP page for college information regarding that program.
